The card line that was also claimed in cash

Duplicate detection often looks at merchant names. It rarely looks at the same night paid twice.

Corporate-card feeds arrive late. Out-of-pocket claims arrive first. A hotel night can be reimbursed as cash and later appear on the card file with a slightly different merchant string. The platform’s duplicate check may never see both rows in the same window.

We sample card lines against cash claims in the same period, then ask whether anyone is assigned to the unmatched ageing report. If the answer is “the administrator, when there is time,” the second payment is a process, not an accident.

Matching rules, feed timing, and write-off rights belong in the same conversation. A claim-path pack that ignores the card file is only half a trail.
